Writer’s Guidelines:

  • Prepare your document using a 12 pt Times New Roman font.
  • Use “normal” formatting. Do not format headlines, paragraphs, etc.
  • Insert only one space after a period.
  • Use block formatting. Do not indent paragraphs. Skip one line between each paragraph. Use single spacing.
  • Keep paragraphs short. Aim for 3-5 sentences, max.
  • Write consistently in the same tense.
  • Use a person’s complete name and title (if applicable) the first time they are mentioned or quoted. Use their first name for all subsequent references. Exception: if the individual is a doctor, use Dr. and their last name for all subsequent references.
  • If you mention a group or organization, give a brief description
of the group and what they do.
  • If you use statistics, figures or other factual data, reference your source.
  • If you mention a business or organization, double-check that you have the correct name for said business or organization.
  • Always refer to dogs as he, she or who — never “it.” (Correct: A dog, who is loving and playful. Incorrect: I have a dog. I love to play with it.)
  • When using quotation marks, all punctuation should be inside the closing quote.
  • When quoting someone, use “says.” (“That’s what,” she says.)
  • Numbers less than 10 are written out. Numbers from 10 up are expressed with numerals.
(I have eight chickens. Suzy has 11 dresses.) Numbers that are used as the first word of a sentence are always written out. (Eleven dogs ran in the yard.)
